We are currently looking for an Administrative Assistant who will proactively work with the Sydney-based administration team of a leading global firm of consulting engineers.


  • Provide administrative support to the Sydney office. Liaise with the Administration Manager to ensure that all deadlines are met in an efficient manner.
  • Book all flights and accommodations (international and domestic).
  • Create and upload documentation through the client's database.
  • Handle project confirmations and initiation, and job start-up including set-up of fee proposal/letter in the database.
  • Word processing of correspondence, spreadsheets, and proposals for the group
  • File general correspondence in accordance with QA procedures.
  • File management - Update and maintain candidates' records and send out emails to unsuccessful candidates in the recruitment process.
  • Set up and type marked up letters, proposals, and reports.
  • Create and develop Frame projects reviews.
  • Leave reconciliation - Update Who’s In and notify all staff when someone is off.
  • Regular Frame modifications and updates to team CVs
  • New staff induction - Set up training and probation meetings.
  • Update and maintain Birthday Matrix, Probation Review Matrix, Training Register, and Induction Register.
  • Update and maintain the correct client/contact details.
  • Add attendees to Vision under the relevant Marketing Campaign.
  • Send out generic “Thank You” emails to those who attended the events organized by the client.
  • Ensure that time sheets are completed in a timely manner.
  • Update and maintain EMS/IMS metrics.
  • Upload and transmit documents on the database and other external document management programs as required.
  • Assist in issuing documents to clients.


  • Must have at least 2-3 years of work experience in an Executive / Administrative Assistant role
  • Candidate must possess at least a Bachelor’s degree in any field
  • Candidate must possess a valid passport
  • Relevant experience providing secretarial assistance, meeting and minute preparation and reporting
  • Strong communication and inter-executive skills
  • Ability to maintain confidentiality, work independently with little supervision on required tasks, organize and delegate to direct and indirect reports, and manage time and perform whilst maintaining quality of output
  • Advanced working knowledge of Microsoft Outlook, Excel, Word, PowerPoint and other software.
  • Willing to work on a day shift schedule at the Mall of Asia Complex, Pasay City
  • Typing speed of at least 42wpm with at least 98% accuracy
