Reporting to the Manila Admin Manager and to the Offshore Director, the Administrative Assistant will provide support to all offices. He/She will liaise closely with the Manila Office Administration staff to ensure that all deadlines are met for all disciplines. Furthermore, it is essential that care is taken to ensure that all work produced is accurate and presented neatly and professionally.

Key Responsibilities:

Office Administrative tasks

  • Booking of all flights and accommodation (international and domestic)
  • Creating Project forms and managing Project start ups
  • Generating reports as instructed
  • Managing transmittals
  • Maintining client and contact information
  • Initiation and maintenance of project reviews and liaising with the Project Leaders (PLs) for them to provide the relevant information
  • Updating CVs in Framemaker and sending feedback forms for training sessions attended
  • Uploading and downloading documents into the relevant project folders; sending correspondence as instructed
  • Managing Project checklist
  • Resource Planning
  • Email monitoring and diary management upon staff request
  • Document Control assistance
  • Formatting of documents and general typing
Human Resources Administrative Tasks
  • Generate new employee documents (i.e. employment contract, offer letter) as instructed.
  • Create position descriptions as instructed

Marketing Administrative Tasks

  • Entering Contacts and Opportunities
  • Chasing up status of opportunities on a weekly basis to assist with forecasting
  • Adding attendees under the relevant Marketing Campaign
  • Maintenance of databases / correct client/contact details / marketing campaigns
  • Managing Client market research and feedback forms

Other Ad Hoc tasks as requested

  • Candidate must possess at least a Bachelor's/College Degree , any field
  • Preferably 2-3 Yrs Experienced Employees specializing in Clerical/Administrative, Secretarial or equivalent supporting multiple people
  • Ability to work independently with little supervision on required tasks
  • Ability to time manage and perform whilst maintaining quality of output
  • Proficient computer skills with an advanced working knowledge of Microsoft Office, internet and email applications
  • Above Average to Excellent verbal and written English communication skills
  • Willing to work in Mall of Asia Complex on a day shift schedule
