We are looking for a Senior Administrative Assistant who will proactively work with the Perth-based Administration team of a global firm of consulting engineers.


  • Booking of flights and accommodation (international and domestic)
  • Initiating and confirming projects, setting up fee proposal/letter and entering data into Deltek
  • Tracking of attendance and leaves
  • Completing RFP forms
  • Setting and formatting of letters, proposals and reports
  • Converting document from PDF to Word
  • Filing of general correspondence in accordance with QA procedures
  • Creating and uploading document through client's database
  • Entering Contacts and Opportunities into Vision
  • Adding attendees to Vision under the relevant Marketing Campaign
  • Sending out generic “Thank You” emails to attendees of client's events
  • Entering PI and PC Forms into Vision as and when required
  • Ensuring timesheets are completed real time and posted weekly in the Head Office
  • Updating and maintaining of EMS/IMS Metrics
  • Downloading and saving of documents from Aconex and other external document management programs

  • Minimum of 5 years of experience working as an administrative / executive assistant supporting multiple senior-level stakeholders
  • Must be able to work independently and be able to ask for work should none be delegated
  • Used to working in a fast-paced working environment
  • Exceptional communication skills - both verbal and written
  • Highly organized and detailed
